Share & invite guests
Open Share & Invite to share the link or QR code and send invitations. Who may reply and the rules for it live on the Guests tab, under RSVP.

Add a host or staff member
Invite a host or staff member by email, phone, or both, with a personal note and the exact access you choose.
- Open the event and stay on the Details tab.
- On "People on this event", click Add to Event and pick the Host or Staff tab.
- Type their email, phone number, or name. Picking someone from your contacts fills in what Bazaar already knows about them.
- If you entered an email, "Also text them" appears underneath, and if you entered a phone number you get "Also email them". Fill it in and the invitation goes out on both.
- Open Permissions to choose what they can see and do. Hosts start with everything on, staff start with the schedule only.
- Open "Add a personal note" to write a line in your own words. It appears in their invitation email and text, above the button that takes them to the event.
- Click Send. Use Save and New instead to keep the modal open and invite the next person.

See and sign your vendors’ contracts
Every contract your vendors have raised for this event, with its current status, and a way straight into any that is waiting on you.
- Open the event and stay on Details, then scroll to the Contracts section.
- Each row is one vendor and the current state of their contract, written from your side: "Awaiting You" means it is waiting on your signature.
- Choose Sign on anything awaiting you. Signing opens on the web even from the app, because a signature is recorded with a timestamp and the device it came from, and that record is what makes it hold up later.
- Anything already signed opens read-only with both signatures on it.
- Hosts and owners see this, as do planner and coordinator admins. A vendor who is not one of those sees only their own contract, in the Your contract card above.
- If you are both a host on this event and the vendor on one of these contracts, that row shows here too. It reads from your vendor side ("Awaiting Client", not "Awaiting You") and opens in the app, because on your own contract you are the counterparty rather than the client. It is the same document as the Your contract card.
- A contract a vendor has started but not finished does not appear here. There is nothing to read or sign until they send it.

Change what someone can see and do
Decide person by person what each host, staff member and vendor can see and change, including handing out the menu or the floor plan on their own.
- Open the event and stay on Details, then find "People on this event".
- Click a person’s role label, the one under their name, to open their access.
- Each row is one thing they can do. Turn a row on to allow it, off to withhold it. Everything you leave alone follows what their role would normally get.
- Menu and Seating are their own rows, so a caterer can be given the menu without the guest list, and a photographer or a venue can be given the floor plan without either.
- Turning an "Edit" row on turns its "View" row on with it, and turning a "View" row off turns its "Edit" row off. You cannot leave someone able to change something they cannot see.
- Close the dialog to save. The change takes effect immediately, everywhere, including the app.
- A vendor team member who is not an admin of their business only ever sees what any participant sees, whatever you set here.

Add a guest from contacts
Pick a guest you have invited before. Their contact details and any dietary or accessibility needs come with them.
Find it: Guests → Guest list → "Add Guest" then "Add One", then the "Add from Bazaar contacts" field at the top of the form
