Seating and floor plans

Hosts and vendors

Lay out tables, place guests and share the floor plan.

Seat finder

Let guests find their seat quickly when they arrive.

  1. Open the event and go to the Seat Finder tab. It appears once the event has guests.
  2. Type a name in "Search your name to find your table" to look someone up the way a guest would.
  3. A match shows their table, and their seat number if you have assigned one.
  4. Click "Map" on a result to jump to the Floor Plan with that table highlighted.
  5. To hand this to guests, use Share & Invite and copy the seat-finder link or download its QR code.
  6. Guests who open the seat-finder link always reach the finder. Until you have seated someone it tells them seating is not posted yet, so a QR code you printed early never looks broken.

You will need guests added to the event first.

Floor plan

View the published layout for this event's space.

You will need a layout published first.

Layout templates

Save floor plan templates you can drop into any event you work.

  1. Open Templates in the sidebar, then Layout templates. It shows for venue and planner or coordinator businesses.
  2. Click "Create Template", name it, and lay out the tables and features of the room.
  3. Save it, and hosts can import it into any event instead of building the room from scratch.
  4. Search your templates or sort by recently updated or name.
  5. Use a card’s controls to edit, deactivate, or delete a template. Only active ones are offered to hosts.

You will need venue or planner/coordinator service first.

Use the venue floor plan

Take a room a venue or planner has already drawn instead of placing tables yourself, keeping your own tables or theirs.

  1. Open the event, go to the Seating tab and the floor plan.
  2. Choose "Import from venue templates" and pick the room.
  3. If your event already has tables, choose whether to keep them and take only the room and its fixtures, or replace them with the venue tables.
  4. A fixed layout asks you to pair its tables with yours first, matching by name where it can. An unpaired table of yours stays on the list, off the plan.
  5. If the room caps how many tables or seats it takes and your event is over that, we say by how much and offer to ask the venue.

You will need a venue or planner on the event with a saved layout first.
