Billing (contracts and invoices)

Review and sign the agreements tied to your bookings, all in one place.

  1. Open Billing in the sidebar. In a business workspace it sits under Account. What you see depends on which workspace you are in.
  2. In a business workspace the page is called Billing, with tabs for Templates, Contracts, Invoices, and Payments.
  3. Start on Templates and build the contract you reuse, then use New Contract and New Invoice on their own tabs.
  4. Filter Contracts by status (Draft, Awaiting You, Awaiting Client, Fully Signed, Expired, Voided) and Invoices by Draft, Awaiting Payment, Partially Paid, Paid, or Overdue.
  5. Use Settings for payment terms, schedules, and how you collect money, and "Preview a sample" to see exactly what a client receives.
  6. In your personal account the same page is "My Contracts": every contract a vendor sent you, with Sign on the ones waiting for you.

Documents

Store insurance, licenses, W-9s and more on your profile (Bazaar Plus).

  1. Open Business in the sidebar, then Documents. It is a Bazaar Plus feature, so you are shown an upgrade panel if you are not on Plus.
  2. Click "Add document" and upload a PDF, image, or Word file, then name it and pick a type.
  3. You can store up to 10. The counter at the top tells you how many slots are left.
  4. Toggle a document Active to show it on every event you are on and at your shareable link. Turning it off revokes it everywhere.
  5. Use the link icon to copy a document’s shareable link, the eye icon to view it, and drag to reorder.

Export your invoices

Download your invoices as a CSV or a PDF table, including what has been paid and what is still outstanding. Filter by status first to export only what you need.

  1. Open Billing and go to the Invoices tab.
  2. Filter by status or search if you only want part of the list.
  3. Click "Export" to the right of the filters.
  4. Choose CSV for a spreadsheet, or PDF for a plain table.
  5. The file covers what is on screen, and every row carries the total, the amount paid and the outstanding balance.

Add a document

Store up to 10 documents (insurance, licenses, W-9s) on your profile (Bazaar Plus). Activate one to show it on every event you are on and at a shareable link; deactivate to revoke it everywhere.

  1. Open Business in the sidebar, then Documents.
  2. Click "Add document", choose a PDF, image, or Word file, name it, and pick a type.
  3. Toggle a document Active to show it on your events and shareable link.
  4. Use the link icon to copy its shareable link, or the eye icon to view it.

Get a document signed

Share one link that lets anyone upload a contract and get it signed with you, even if they have never used Bazaar.

  1. Open Billing and stay on the Contracts tab.
  2. Find the "Get a document signed" row above your contracts list.
  3. Click "Copy link" and send it to whoever needs your signature.
  4. They upload their document (a PDF or an image), add their name and email, and sign it first.
  5. You get a notification as soon as it lands, and an email once they send it to you.
  6. Once you sign, you are both emailed the signed copy automatically.
  7. To turn this link off, use Settings on the Contracts tab. The "Send a document" button stays either way.

Send a document out for signature

Upload your own PDF, say who signs it and where, and send it out. For contracts you already have, rather than ones built from a Bazaar template.

  1. Open Billing and stay on the Contracts tab.
  2. Click "Send a document" on the "Get a document signed" row.
  3. Drag in the file or click to choose it. PDF or an image; a Word document has to be saved as a PDF first.
  4. Add each person who signs, with their email, and turn on "Sign in order" if one must go before the next.
  5. Pick a signee, then choose Signature, Initials, Date, Text or Checkbox and click the page to place their fields.
  6. Click "Send for signature". Everyone due is emailed their own link, and you are taken to sign your own part.

Sign a contract waiting on you

Add your signature to a contract that is waiting on you, and send both parties the signed copy.

  1. Open Billing and stay on the Contracts tab.
  2. Filter by "Awaiting You" to find contracts waiting on your signature.
  3. Open the row actions menu and choose "Sign Contract".
  4. Read the document, then draw, type, or pick a saved signature.
  5. Click Sign. Both parties are emailed the signed copy.
  6. No "Sign Contract" item? The document was uploaded rather than built here, so open it and use the Sign button on your own row in the Signees list.

Sign a document you were sent

Sign a document someone sent you, filling only the fields that are yours.

  1. Open Billing and stay on the Contracts tab.
  2. Open the contract. The Signees list shows who has signed and who is next.
  3. Your own row is marked "(you)". When it is your turn, it shows a Sign button.
  4. Fill the fields marked for you, then draw or type your signature.
  5. Click "Finish signing". Once everyone has signed, you are all emailed the completed copy.
  6. Signing for your business? Your row is the one with your business name on it, even when it carries your public contact address rather than your login.

See who has signed, and chase who has not

See who has signed a document, who it is waiting on, and nudge the person holding it up.

  1. Open Billing and stay on the Contracts tab.
  2. Open the contract to see the Signees list.
  3. Each person shows Not sent, Sent, Opened, Signed or Declined, with the time.
  4. Click Remind beside whoever the document is waiting on.
  5. On a document signed in order, people further down show "Waiting their turn" and cannot be reminded yet, because they have not been asked.

Place signature fields and send a document

Say who signs an uploaded document, place the fields each person fills, and send it out.

  1. Open Billing and stay on the Contracts tab.
  2. Open the document and click "Fields" at the bottom of the dialog.
  3. Add each person who needs to sign, with their email.
  4. Turn on "Sign in order" if one person must sign before the next is asked.
  5. Pick a signee, then choose Signature, Initials, Date, Text or Checkbox and click the page to place it.
  6. Bazaar offers the places it found in the document, so you can add them all at once and adjust from there.
  7. Click "Send for signature". Everyone due is emailed their own link.
  8. If Send is unavailable it says why beside the button, usually a field nobody has been assigned.

Accept documents for signature

Control whether your public signing link accepts new documents, so you can close it if you are getting ones you did not ask for.

  1. Open Billing and click the settings gear.
  2. Go to the Contract tab.
  3. Turn "Accept documents for signature" off to close your signing link.
  4. The link stops accepting uploads straight away and anyone who opens it is told you are not accepting documents.
  5. Turn it back on at any time. The link never changes.

Preview a sample

Open a sample contract and invoice built from your own template, with client and event details you can edit, so you can see exactly what your client receives before a real booking comes in.

  1. Open Billing.
  2. Click "Preview a sample" in the top-right.
  3. Edit the client name, venue address, event date, or event type to taste.
  4. Switch between the Contract and Invoice tabs to see both.
  5. Nothing is sent, charged, or saved. It is a sample only.

Default fees

Set labor, travel, and other default fees once in your payment settings; offerings inherit them and can override or disable each one.

  1. Open Billing and go to the Payments tab, then open the Fees section below the Stripe card.
  2. Click "Add" under "Default fees" and name it, for example Labor or Travel.
  3. Choose Percentage or Fixed amount and enter the value. A percentage is taken on the offering subtotal only, never on add-ons or other fees.
  4. Leave "Show to host" on so the host sees the fee as its own line in the live estimate. Off still charges it, it is just not itemized.
  5. Every offering inherits these. To change one, override or switch the fee off in that offering instead.
  6. Fees that vary by package tier or guest band are offering-level, so set those in the offering builder rather than here.

Custom payment schedule

Define your own payment milestones (e.g. 25% deposit, 50% mid-point, 25% before the event) as a default template or per invoice. Clients pay them in order and each unpaid milestone gets its own reminder; leave it off to keep the standard deposit + balance. Changing the default only affects new invoices. Use "Apply to pending invoices" to push it onto existing standalone invoices, or the per-invoice "Payment schedule" action for one.

  1. Open Billing and go to the Payments tab, then open the Schedule section below the Stripe card.
  2. Turn on "Use a custom payment schedule".
  3. Add your milestones (e.g. 25% deposit, 50% mid-point, 25% before the event). They must total 100%.
  4. New invoices use this schedule automatically. To apply it to existing pending standalone invoices, click "Apply to pending invoices".
  5. For a one-off, skip the Payments tab and use the "Payment schedule" action on that invoice card instead.

Accept card payments

Connect a Stripe account so clients can pay your invoices online by card. Funds go straight to your bank on Stripe's standard payout schedule and Bazaar takes no cut. Needs a paid plan (Bazaar Lite or Bazaar Plus).

  1. Open Billing and go to the Payments tab.
  2. Click "Enable online payments". If you already have Stripe connected on another business, you will be offered that account to reuse (same legal entity and bank) or a new one.
  3. Finish Stripe's onboarding in the window that opens, then come back to Bazaar.
  4. If the tab says "Finish your Stripe setup", click "Finish setup" and complete the remaining details. Charges enabled and Payouts enabled both have to show before clients can pay.
  5. Open the Collection section below and turn on Online card payments, so invoices show clients a "Pay now" button. Until you do, the account is connected but nobody is being asked to use it.
  6. Once you are active, "View payouts & payments" opens your Stripe dashboard for the money side.

Pass card fees to clients

Turn on a client-paid card processing fee so the online charge is grossed up and you net your full amount. Requires a manual (no-fee) handle as an alternative and your attestation that you may surcharge.

  1. Open Billing and go to the Payments tab, then open the Collection section below the Stripe card.
  2. Turn on Online card payments first, since the surcharge only applies to card payments. If it says "Setup required" or "Connect Stripe", finish Stripe setup from the card above.
  3. Turn on Manual handles too, so clients always keep a no-fee way to pay.
  4. Toggle "Pass card fees to clients" on.
  5. Tick the box attesting you may surcharge in your area. The fee stays off until you do.

Create a contract

Draft a contract from a booking, a template, or an uploaded PDF.

Text a contract to a client

Contracts are texted to the client automatically when a phone number is on their details, alongside the email.

  1. You do not send it separately. Bazaar texts it for you: when a contract goes out, the client gets the email, and if a phone number is on their details they also get a text carrying the same signing link.
  2. Put a phone number on the client. It carries over automatically from the phone they left on their booking inquiry; if there isn't one, add it in the contract flow's contact step before you send.
  3. Send the contract as usual. The text goes out alongside the email and never replaces it, so a client with no phone on file is unaffected.
  4. The texted link is the same tokenized signing link as the email, so it opens the contract directly without the client needing an account.

Reuse a saved client on a new booking

Pick a client you have worked with before instead of retyping their details.

  1. Your clients are saved automatically. Every inquiry, booking and contract adds the person to Contacts, so there is nothing to set up first.
  2. Start a new booking or invoice from Billing. At the client step, an event with no inquiry on file offers "Pick someone you have worked with".
  3. Choose the client from the picker. Their name, email and phone fill in for you, so you are not retyping details you already hold.
  4. Anything you change here updates only this booking. Edit the person in Contacts if you want the change to stick for next time.
  5. Because the phone comes across too, the client also gets the contract by text, not just by email.

Cancel a booking

Cancel a booking you have taken. Your client is told, any unpaid invoice is voided, and the booking reopens so they can find someone else.

  1. Open Billing and go to the Contracts tab, or open the event itself and find the Your contract card, which carries the same menu.
  2. Open the contract's menu and choose "Void Contract". On a phone the menu is the "..." button on the card.
  3. You can add a message. It goes to the client with the cancellation, and it is worth writing: they were counting on you and now have to replace you, so "why" is the first thing they will want.
  4. Cancelling tells the client straight away, voids any UNPAID invoice for the booking, and reopens the booking so they can look for someone else.
  5. An invoice that has already taken a payment is left alone, and you are told so. Arrange any refund with the client directly, because voiding the record would erase the only trace of what they paid.
  6. If the booking has an event attached, you are then asked what to do about the event itself. "Leave the event" takes you off it and leaves everything the host has planned intact.
  7. "Delete the event" only appears when you own it, which happens when the booking itself created the event. It removes the event and everything on it, so leave it alone unless you are sure.
  8. This cannot be undone. A voided contract cannot be revived; raise a new one instead.

Finish a draft contract

Pick up a contract you started earlier, add the pricing and your signature, and send it to your client. Works on the web and in the app.

  1. Go to Billing, then the Contracts tab, and find the one marked Draft.
  2. Choose Complete Draft (on your phone, open the contract and tap "Finish this draft").
  3. Pick a template if the draft does not have one yet, then check the line items and payment split.
  4. Read through the contract body and edit anything that needs it.
  5. Set how long the client has to sign, add your signature, and send it.
  6. A draft has no document to read until you finish it, which is why opening one offers to complete it rather than showing a blank contract.

You will need a draft contract exists first.

Revive a contract

Reopen an expired contract, set a fresh signing deadline, and send it back to your client to sign. Voided contracts cannot be revived; issue a new contract instead.

  1. Open Billing and go to the Contracts tab, then filter by Expired to find it.
  2. Open the contract and choose Revive. It reopens the same contract in a five-step flow with everything pre-filled.
  3. Step through Pricing and Details, correcting anything that has changed. Tick "Also update the event itself" if the date or name moved and you want your event to match.
  4. On Template, keep the template it was built from, or switch it.
  5. On Review, read it through. "Edit Contract" lets you change the wording, and each highlighted section card has its own Edit button.
  6. On Sign, sign it again and set the new signing deadline. It defaults to your usual signing window from today.
  7. Click "Revive". Your client gets a fresh signing link and the contract is live again.
  8. Revive only applies to expired contracts. If you voided it, raise a new contract from the Contracts tab instead.

Edit contract sections and consent clauses

Edit the data sections of a single contract: consent clauses (with an option to also update your template), event and client details, and pricing. Every line item needs either a price or the No charge tick, so nothing is left ambiguous.

  1. Open Billing, go to the Contracts tab, and Edit or Revive the contract.
  2. On the review step, click "Edit Contract". Each highlighted section card then carries its own Edit button.
  3. Editing the consent card opens the clauses for this contract only, with "Also update my template" if you want future contracts to match.
  4. Editing the event or client card jumps you to Details; editing the services or payment card jumps you to Pricing.
  5. On Pricing, a named line with an empty amount counts as unpriced, not free. That blocks Continue, with a notice saying how many lines still need a price.
  6. For something included at no cost, tick "No charge" on that line. Your client sees "No charge" next to it instead of $0.00, and it adds nothing to the total.
  7. A no-charge line stays on the contract and carries through to the invoice, so your client can see exactly what they are getting.
  8. At least one line still needs a real price: a contract that is free in full cannot be invoiced.
  9. If you would rather not list it at all, delete the row with the bin icon.

Amend a signed/paid contract

Change scope/pricing on a contract whose deposit is already paid. The client re-signs the new amount and their invoice balance updates to credit what they’ve paid.

  1. Open Billing and go to the Contracts tab.
  2. Find the contract whose deposit or balance is already paid and open it.
  3. Choose Amend, then change the scope or pricing.
  4. Send it, and the client re-signs the new amount.
  5. Their invoice balance updates automatically to credit what they have already paid.

Create an invoice

Generate an invoice from a contract, or create a standalone one.

  1. To invoice against a signed contract: open Billing, go to Contracts, open the contract, and choose "Generate Invoice". It carries over the services, amounts, and payment terms.
  2. To build one from scratch: go to the Invoices tab and click "New Invoice".
  3. Pick the event to link it to (past events are listed under "Past"), or choose a standalone invoice.
  4. Add line items and pricing, then send it to your client.

Edit an invoice

Edit a standalone invoice’s services, pricing, or client details. Already-paid amounts are preserved and the balance is recomputed; contract-linked invoices are changed by amending the contract instead.

  1. Open Billing and go to the Invoices tab.
  2. Open the invoice’s "..." menu and choose Edit Invoice.
  3. On Pricing, change any line’s name or amount, or use Add custom item and Add discount.
  4. For something you are including at no cost, tick "No charge" on that line. Your client sees "No charge" beside it instead of $0.00, and it adds nothing to the total.
  5. A named line left blank counts as unpriced and blocks Continue, with a notice saying how many still need a price.
  6. Continue through Client and Review, then Save. Amounts already paid are kept and the balance is recalculated.

Record a payment

Record money against an invoice or its contract: the deposit, the balance, the lot, or an amount that is none of those.

  1. Open Billing and go to Invoices or Contracts.
  2. Open the invoice or contract, or use its "..." menu.
  3. Only the payments still outstanding are offered. "Confirm deposit paid" appears while a deposit is due, "Confirm balance paid" once it is settled, and "Confirm paid in full" while both are still owed.
  4. For anything else, choose "Record a payment", enter the amount, and add a label such as "Cash deposit" if it helps you recognise it later.
  5. An invoice with no deposit split shows a single "Confirm payment", because there is only one payment to record.
  6. Whatever you record updates the same balance, whether you did it from the invoice or from the contract.

Configure invoice settings

Set how your invoices behave: how you collect payment, deposit and payment schedule, automatic payment reminders, accepted payment methods, and default fees.

  1. Open Billing and go to the Payments tab.
  2. Below the Stripe card, open the Rules section. "Send payment reminders" is the switch you want.
  3. Leave it on and we email your client automatically as the invoice due date approaches. Turn it off and reminders only go out when you send them yourself.
  4. "Auto-void overdue invoices" sits beside it. Leave that off if you want an overdue invoice to stay actionable rather than closing itself.
  5. Reminders follow the due dates, so use the Schedule section to set your deposit and payment schedule and the dates reminders key off.
  6. To chase one invoice right now, go to the Invoices tab, open the "..." menu on that invoice, and choose "Send Reminder".

Contract defaults

Choose the template new contracts start from, whether a signature is required, how long clients have to sign, whether signing reminders go out, and when the invoice is generated.

  1. Open Billing and go to the Contracts tab, then click "Settings". It opens on the Contract sub-tab.
  2. Under "Default Template", pick the template new contracts start from. It is preselected every time you generate one.
  3. Turn on "Require contract" if a new event vendor invite should not confirm until the client has signed. It stays disabled until you have set a default template.
  4. Set "Signing deadline" to how long a client has to sign before the contract expires.
  5. Set "Invoice timing" to control whether the invoice is created after the contract is fully signed, sent with the contract, or not automatically at all.
  6. Leave "Send signing reminders" on and we email the client as the deadline nears. Turn it off to send reminders by hand from the contracts table.

Set your consultation link

Save your own external booking URL as a fallback, for when Bazaar is not hosting your consultations.

  1. Most vendors do not need this. On a paid plan, Consultations in the sidebar lets Bazaar host the booking page, make the meeting link and send reminders. This field is only the fallback for when that is switched off.
  2. Open Billing and go to the Templates tab, then click "Settings". The setting lives here rather than under Contracts or Invoices.
  3. Open the Consultation sub-tab.
  4. Paste your booking URL into "External booking link". Calendly, Cal.com and Square all work, and the field takes any link your booking service gives you.
  5. Changes save themselves. The pill in the header tells you when.
  6. To use it, open an inquiry from Bookings and click Send. Bazaar sends your own booking page when native scheduling is on, and this link when it is off.

Brand your contracts and invoices

Set the logo and the business name, email, phone, and address that appear on your contracts and invoices.

  1. Open Billing and go to the Templates tab, then click "Settings".
  2. Open the Branding sub-tab.
  3. Fill in Business name, Business email, Business phone, and Business address. These are what print on the paperwork your client sees, so they can differ from your profile.
  4. Use "Logo Mode" to choose how your logo is placed, then upload the logo itself.
  5. Changes save themselves. The pill in the header tells you when.

Accepted payment methods

List the handles clients can pay you with directly, such as Venmo, PayPal, Zelle, or Cash App, so they appear on every invoice.

  1. Open Billing and go to the Payments tab.
  2. Below the Stripe card, open the Collection section first and turn on offline payments. The Methods panel stays empty until you do, which is the usual reason this looks missing.
  3. Open the Methods section and click "Add".
  4. Pick the method type and enter your handle or link. Some types take a username and build the URL for you.
  5. Add as many as you accept. They all show on the invoice for the client to choose from.
  6. Changes save themselves. The pill in the header tells you when.

Manage contract templates

Build and manage the contract templates every future contract starts from, including your own consent clauses and checkboxes. Invoices have no separate template; their look and terms come from Billing → Settings.

  1. Open Billing and go to the Templates tab. Every template you have lives here.
  2. Click "New Template" and pick "Blank Template" to start fresh, "Start from Template" to copy one of ours, or "Import existing contract" to bring in a contract you already use.
  3. In the builder, write your terms in the middle. The left sidebar toggles the sections that fill themselves in from the booking: business info, client info, event details, services, payment summary, and signatures.
  4. For your own consent clauses, use "Consent & Checkboxes" in that same left sidebar. Click "Add Element", name it (for example "Media Release Consent"), add a description, and list the options a client picks from.
  5. Tick "Required" on a clause your client must answer before they can sign.
  6. Use "Preview" to read it as a client would, tick "Set as default" if new contracts should start from it, then Save.
  7. Back on Templates, a template’s "..." menu holds Make Default, Duplicate, and Archive.
  8. To change a clause on one contract only, edit that contract instead; the template stays untouched unless you tick "Also update my template".

Sign a contract

Review and sign a contract a vendor sent you, without printing or scanning anything.

  1. Open Contracts from the sidebar while you are in your personal account. The page is called My Contracts and lists every contract a vendor has sent you.
  2. Anything waiting on you is highlighted and its button reads "Sign" rather than "View". Click it. (The emailed link opens the same page.)
  3. Read the contract. "Jump to Signature" takes you straight to the bottom once you are happy.
  4. Answer any consent questions in the contract. Required ones must be answered or signing is blocked and the missing ones are flagged.
  5. Draw or type your signature, then click "Sign Contract".
  6. You get a confirmation, and where a deposit is due the invoice link appears so you can pay straight away.
  7. If you are on the event page instead, the same contract is under Contracts on the Details tab with a Sign button.
