Checklists

Track every task for this event so nothing slips through.

  1. Open the event and go to the Checklists tab.
  2. Click "New List" to make a list for a stage of your planning, like "3 months out", "Week of" or "Day of". You can have as many as you like.
  3. Click "Add Item", type the task, and pick which list it belongs to. The picker also offers your schedule items, so a task can sit under "Ceremony" instead.
  4. Tag it with a role if you want it clear who owns it, then save.
  5. Each list has a "…" menu to rename it, move it up or down, or delete it.
  6. The stats strip at the top counts total items, done, due this week, and overdue.
  7. Filter by All, "Assigned to me", or a role tag to cut the list down to what matters to you.
  8. Tick items off as they land, drag a task between lists to move it, or select several and mark them done or delete in one go.

You will need an event exists first.

Remind someone about a task right now

Send the people assigned to a task a reminder immediately, without waiting for a scheduled one.

  1. Open the event and go to the Checklists tab.
  2. Assign someone to the item first. The button needs somebody to remind, and tells you so if nobody is assigned.
  3. Expand the item and click "Remind them now" under Reminders.
  4. Everyone assigned is reached the same way a scheduled reminder reaches them: in the app, as a push notification, and by email or text, following each person's own preference.
  5. It respects their notification settings. Someone who has switched event reminders off still sees it in their in-app list, they are just not interrupted.
  6. A completed item cannot be nudged, since there is nothing left to chase.

You will need a checklist item with someone assigned to it first.

Set a reminder on a task

Have Bazaar remind whoever the task belongs to, either at a fixed time or a set amount of time before the event or the schedule item it sits under.

  1. Open the item: Checklists tab, tap the task. In the app you can also open a schedule item and tap one of its checklist rows.
  2. In Reminders, choose what the reminder is measured from: an exact date and time, before the event starts or ends, or before that schedule item starts.
  3. For a relative reminder, set the amount and the unit. Minutes, hours and days are all available.
  4. It saves as you set it, so there is no separate save step.
  5. Up to two reminders per task. Use "Then every" to repeat one until the task is done, from 1 minute up to a day, or "Remind them now" to send one immediately.

Keep reminding until a task is done

Repeat a reminder on a set interval until the task is actually marked done.

  1. Open the event and go to the Checklists tab.
  2. Expand the item and add a reminder first. Repeating extends a reminder, so the option only appears once one is set.
  3. Use the "Then every" dropdown under the reminder to pick an interval. The stops run from 1 minute up to a day, and "Custom" takes any whole number of minutes in that range.
  4. The repeats start after the first reminder goes out, and go to the same people it did.
  5. Marking the item done stops them. So does the end of the event, and a cap on how many can go out, which the control states under the interval.

Add a task

Add a task and choose which list it belongs to.

  1. Open the event and go to the Checklists tab.
  2. Click "Add Item" and type the task.
  3. Pick where it goes: one of your lists, or a schedule item.
  4. Optionally tag it with a role, then click Add.
  5. To set a due date, assignees or a reminder, open the task once it is on the list.

Create a checklist

Make separate lists for each stage of planning, and put them in the order you work.

  1. Open the event and go to the Checklists tab.
  2. Click "New List" and give it a name. Most people name them for when the work happens, like "3 months out", "Week of" or "Day of".
  3. Add a description if the name alone will not make it obvious to your team.
  4. Add tasks to it with "Add Item", picking that list as the target.
  5. Use the "…" menu on a list to rename it, move it up or down, or delete it. Deleting a list also deletes its tasks.
  6. To move a single task between lists, drag it across.

You will need an event exists first.

Filter the checklists

Cut the lists down to your own tasks, one vendor’s, or one role’s.

  1. Open the event and go to the Checklists tab.
  2. Pick a chip above the lists: "Assigned to me", a vendor, or a role.
  3. "Assigned to me" catches a task named to you, named to your business, or tagged with a role your business supplies, so nothing has to be assigned twice to reach you.
  4. A vendor chip works the same way from the other side: it shows what is named to them plus anything tagged with a role they supply.
  5. Pick "All" to go back to everything.

Update several tasks at once

Tick off or clear out a batch of tasks in one go.

  1. Open the event and go to the Checklists tab.
  2. Click "Select" above the lists.
  3. Tick the tasks you want. Selection spans every list on screen, so a batch can cross lists.
  4. Use "Mark done" or "Delete" in the bar at the bottom. Deleting cannot be undone.
  5. Changing the filter drops anything no longer on screen from the selection, so you can never act on a task you cannot see.
